Receptionist (Base at Bkk)

หน้าที่และความรับผิดชอบ

Front Desk Service

• Receptionists have to be an image of SAP.

• Provide a friendly, welcoming and professional first impression to all & ensure all exiting guests receive a personalised, friendly and courteous farewell.

• Maintain high standards of presentation in the reception area and office operation duties.

• Ensure guests and visitors are appropriately attended to, accommodated and comfortable for the duration of their visit.

• Register incoming visitors/guests using the Visitor Management System, if applicable.

• Ensure that service providers, contractors and vendors are received, directed & escorted appropriately according to their purpose of visit.

• Announce visitors to the appropriate host & assist visitors with any required attention (e.g. access to facilities, provide information etc)

• Work with office cleaner to maintain public areas (reception lobby, pantry & meeting rooms) in a clean and tidy condition.

• Become a subject matter expertise (SME) in respect of the front of house facilities and systems such as basic operation of AV facilities, environmental controls, and other enabling systems.

• Ensure conference rooms are appropriately setup and configured according to the Room Preparation Guide.

• Coordinate with client on meeting room reservations and attending to enquiries.

• Manage telephone engagement such as answer incoming calls, with proper greetings; pick up phone in 3 rings. Timely and effective communication at all times.

• Ensure appropriate cover for incoming telephone service at all times during business operating hours (including lunch hour support)

• Keep Front of House area in a prestige condition at all times.

• Ensure all visitors display the appropriate identification badges.

Office Administration

• Operate & execute the work order management system with CSS system (Helpdesk), digital signage, GR Posting, meeting rooms.

• Order, monitor & track inventory for office stationeries, pantry, drinking dispensers, first aid items, and other general supplies to ensure that supply are sufficiently stocked.

• Perform basic visual inspections & ensure anomalies are swiftly acted on.

• Coordinate with vendor for organising schedule & unscheduled maintenance of office assets (e.g. printer, coffee machines etc)

• Operate SAP’s SRM system and ensure that procurement processes (Purchase Order creation, vetting invoices, and asset information update) are in compliance.

• Ensure rooms & facilities are correctly stocked with adequate supplies (markers, erasers, paper, basic stationary, batteries, cables and leads etc)

• Preparation and issuance of door access and Corporate ID cards to new hire. Carry out monthly audit check of access cards.

• Liaise with building management to support client’s request. Report equipment / building fault to the vendors / building management.

• Manage courier and postal vendors and ensure proper handling of inbound and outbound mail & packages.


คุณสมบัติ

• Minimum of 2-3 years’ experience required in a corporate environment or as a third party service provider.

• Good organizational and interpersonal skills with a strong customer focus.

• Proficient in MS Office, and possess strong written, verbal and people skills.

• Demonstrated intermediate to advanced written communication skills and verbal communications skills.

• Able to work independently with minimal supervision.

• Prioritize and manage the completion of projects in an efficient and timely manner.

• Ability to quickly learn how to use any Company required software.

• Good command in English
