Responsibilities
Import Operation
- Follow up on the stuffing date for incoming shipments
- Book vessel space with the freight forwarder
- Check the sea freight or air freight as requested
- Check and confirm shipping documents to ensure they are ready before the vessel's arrival
- Follow up on the original CO after the vessel departs
- Check and confirm the draft import entry
- Submit NSW for regulated products
- Prepare the delivery plan for the forwarder and warehouse
- Send the delivery notice to the warehouse and all users
- Check HS codes and import duties for new items
- Calculate COGS using the exchange rate as of the ATD (actual depart date)
- Send NPI (new product information) to all users after delivery is completed
Billing for duty tax and local charge
- Check and confirm the details on the invoices
- Calculate weekly total duty for the accounting team
- Receive the original invoice from the forwarder and submit it to the accounting team
- Coordinate with accounting team to make sure the payment within due date
Import schedule
- Check vessel status timely and update ETD/ETA, ATD/ATA and delivery dates in the import schedule (Excel file) for sharing to all sales team
- Send delay notices to inform all concerned parties
Clearance support (DHL, FedEx etc.)
- Coordinate with courier for sample clearance
- Submit NSW for regulated products
- Prepare duty receipts and shipping documents to the accounting team
Landed cost
- Calculate the landed cost for all shipments after delivery is completed
- Submit NSW for regulated products
- Prepare duty receipts and shipping documents to the accounting team
ETC
- Investigate the container condition when it arrives damaged at the destination to avoid extra charges.
- Coordinate with customs and prepare the necessary documents when issues arise
- Arrange and make the customs payment for sample imports via FedEx and proceed to pay at the customs office.
Qualifications
- Bachelor’s degree in supply chain management, Business Administration, International Trade, Logistic or any fields
- 1-3 years of experience in import & export operation, freight forwarding, logistics or supply chain roles
- Strong knowledge of import regulations and documentation (e.g., Bill of Lading, Commercial Invoice, Packing List, Certificate of Origin)
- Fluent in English, proficiency in other languages is a plus.
