Responsibilities

Job Scope:
Responsible for coordinating customer requests, managing laboratory workflow administration, preparing testing-related documentation, and supporting communication between customers and laboratory personnel. This role ensures efficient sample processing, timely reporting, compliance with customer requirements, and the delivery of excellent customer service while supporting the Physical Laboratory's operational objectives.

Major duties and Responsibilities:
1. Customer Coordination & Service:
  • Act as the primary point of contact for customers regarding testing requests, project status, and service inquiries.
  • Communicate professionally with customers to clarify requirements, specifications, and testing expectations.
  • Respond to customer inquiries in a timely manner and provide updates on testing progress and report issuance.
  • Build and maintain strong relationships with customers to ensure a high level of customer satisfaction.
2. Laboratory Administration & Documentation:
  • Prepare, review, and maintain testing-related documents, datasheets, work orders, and supporting records.
  • Ensure documentation is complete, accurate, and aligned with laboratory procedures and customer requirements.
  • Coordinate sample registration and tracking throughout the testing process.
  • Maintain records and filing systems in accordance with laboratory quality requirements.
3. Testing Coordination & Workflow Management:
  • Coordinate with laboratory personnel to ensure testing activities are scheduled and completed within agreed turnaround times (TAT).
  • Monitor testing progress and proactively communicate any delays or issues to relevant stakeholders.
  • Support laboratory operations by facilitating effective communication between customers and technical teams.
  • Assist in workload planning and prioritization to ensure smooth laboratory operations.

4. Data Analysis & Reporting:

  • Compile, analyze, and summarize testing data and operational information.
  • Prepare reports, summaries, and status updates for customers and management.
  •  Verify report completeness before submission to customers.
5. Quality & Compliance:
  • Maintain awareness of customer specifications, SOPs, work instructions, and testing requirements.
  • Support compliance with laboratory quality systems, including ISO/IEC 17025 requirements.
  • Ensure all activities are performed in accordance with company procedures and quality standards.

Qualifications

Education:
  • Bachelor’s degree of Science in Physics, Engineering in any related field
Experience:
  • 3–4 years of experience in customer service, laboratory coordination, or administrative support, preferably within a third-party testing, inspection, or certification environment.
  • Experience supporting laboratory operations or technical service teams is an advantage.
Skills and Abilities:
  • Good command of English (reading, writing, and speaking).
  • Proficiency in Microsoft Office applications, particularly Excel.
  • Familiarity with customer SOPs, work instructions, and testing requirements.
  • Strong communication and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Strong attention to detail and accuracy in documentation.
  • Service-minded with a proactive and problem-solving approach.
  • Ability to work effectively under pressure and manage multiple priorities.
