Responsibilities

Job Summary

We are seeking an experienced HR & Personnel Administration Manager to oversee and control the company’s HR function, personnel administration, employment documentation, labour law compliance, payroll administration support, and internal HR coordination.

This role will be responsible for managing HR administration for corporate employees and project-assigned personnel across Bangkok HQ, branches, remote offices, and project sites. The successful candidate will report directly to senior management and act as the central HR focal point to ensure smooth coordination, accurate documentation, proper HR control, and compliance with company procedures and Thai labour law.

Key Responsibilities

HR Management & Personnel Administration

  • Manage day-to-day HR operations and personnel administration.
  • Supervise, guide, and coordinate the HR team to ensure accurate, timely, and compliant HR support.
  • Maintain employee records, personnel files, employment documents, contract records, leave records, attendance records, probation records, disciplinary records, training records, and HR compliance documents.
  • Oversee onboarding, probation follow-up, employee confirmation, contract renewal, transfer, promotion, salary adjustment, resignation, termination, and offboarding processes.
  • Ensure HR records and personnel administration files are properly controlled and available for internal review, audit, and management decision-making.

Employment Contracts & Labour Law Compliance

  • Prepare, review, control, and maintain employment contracts, amendments, assignment letters, appointment letters, salary adjustment letters, warning letters, termination letters, and other employee-related documents.
  • Ensure employment documentation complies with Thai labour law, company policies, internal approval procedures, and applicable project requirements.
  • Manage employment arrangements for Thai employees, expatriates, consultants, and project-assigned personnel.
  • Coordinate with external legal, payroll, visa/work permit, tax, or HR service providers when required.
  • Escalate employment risks, labour law concerns, employee disputes, disciplinary issues, or compliance matters to senior management in a timely manner.

Payroll Administration & Finance Support

  • Control monthly payroll input data and ensure completeness and accuracy before submission to Finance/Accounting.
  • Verify salary, allowances, overtime, deductions, leave without pay, attendance records, reimbursements, benefits, project allowances, and other payroll-related data.
  • Ensure payroll-related information is supported by proper documentation, approval, timesheets, attendance records, contract clauses, or management instructions.
  • Coordinate with Finance and Accounts Payable to ensure payroll and personnel-related payments are properly reviewed and processed.
  • Identify payroll inconsistencies, undocumented payments, unapproved allowances, incorrect overtime claims, or missing supporting documents.

Internal Procedures, Controls & Employee Discipline

  • Ensure HR procedures, company policies, approval workflows, attendance rules, leave procedures, overtime procedures, expense procedures, and personnel administration controls are properly followed.
  • Monitor compliance with internal procedures across departments, branches, and project sites.
  • Support management in enforcing employee obligations, attendance discipline, documentation discipline, reporting obligations, and proper use of HR systems.
  • Recommend practical improvements to strengthen HR controls, reduce HR risk, and improve personnel administration.


Coordination & Problem Solving
  • Act as a facilitator between HR, Finance, Operations, QHSE, Recruitment, Business Development, branch management, and project teams.
  • Support department managers in handling employee-related matters, documentation requirements, attendance issues, project personnel issues, and internal procedure application.
  • Promote clear and constructive communication between departments, branches, and project sites.
  • Provide practical HR advice while maintaining confidentiality, compliance, and proper documentation.

Qualifications

Qualifications
  • Bachelor’s degree in Human Resources Management, Business Administration, Law, Management, or related field.
  • Minimum 10 years of experience in HR management, HR operations, personnel administration, or employment administration.
  • Strong knowledge of Thai labour law and practical experience applying labour law in daily HR operations.
  • Experience preparing and controlling employment contracts, HR letters, employee documentation, and personnel records.
  • Experience supervising an HR team and coordinating payroll administration support.
  • Experience managing HR administration for both corporate employees and project-site/field personnel.
  • Experience with expatriate employment administration, visa/work permit coordination, or international employment arrangements is an advantage.
  • Experience in oil & gas, engineering, manpower services, project support, or international service companies is an advantage.
  • Strong written and spoken English skills.
  • TOEIC score minimum 650 or equivalent English proficiency is preferred.
  • Proficient in Microsoft Office, especially Word, Excel, Outlook, and PowerPoint.
  • Able to work with multicultural teams and international stakeholders.
  • High level of confidentiality, maturity, attention to detail, and professional judgment.
  • Strong coordination, facilitation, and problem-solving skills.
  • Able to work directly with senior management.

Job Summary

Key Responsibilities

  • Maintain employee records, personnel files, employment documents, contract records, leave records, attendance records, probation records, disciplinary records, training records, and HR compliance documents.
  • Oversee onboarding, probation follow-up, employee confirmation, contract renewal, transfer, promotion, salary adjustment, resignation, termination, and offboarding processes.
  • Ensure HR records and personnel administration files are properly controlled and available for internal review, audit, and management decision-making.

Employment Contracts & Labour Law Compliance
