Responsibilities
Facility & Building Operations
• Conduct daily pre-opening inspections of all areas within the Sales Gallery (2-storey warehouse conversion), covering all M&E systems, AV/multimedia installations, HVAC, lighting controls, model room fixtures, and public circulation spaces.
• Ensure all building systems are fully operational, well-maintained, and consistently performing to luxury-grade standards throughout operating hours.
• Oversee preventive and corrective maintenance programmes, maintaining accurate Maintenance Logs, Defect Registers, and Asset Records.
• Coordinate with specialist contractors (AV technicians, lighting engineers, fine-finish carpenters) ensuring work is carried out without disrupting client visits.
• Manage the commissioning, testing, and sign-off of all new installations or fit-out works within the gallery.
Luxury Experience & Brand Standards
• Maintain the appearance, cleanliness, and ambience of all areas — reception, model rooms, lounge, parking, and external approach — to a standard equivalent to an international 5-star hotel.
• Implement and uphold brand environment guidelines, ensuring spatial presentation, scent, sound, and lighting consistently reflect the ultra-luxury project identity.
• Identify and proactively resolve any visual defect, malfunction, or inconsistency before it is noticed by clients or sales staff.
• Conduct post-visit reset procedures to restore all areas to showroom-ready condition promptly.
VIP Client & Event Support
• Coordinate with the Sales and Marketing teams to prepare the venue for all scheduled VIP appointments, private viewings, exclusive events, and roadshow presentations.
• Oversee event set-up and breakdown, ensuring furniture, AV systems, catering areas, and VIP reception zones are configured correctly and on time.
• Brief facility team and front-of-house staff before each VIP visit to ensure all protocols are understood and adhered to.
• Respond immediately to any facility-related issue raised during client interactions; resolve discreetly and without disruption.
Vendor & Contractor Management
• Source, evaluate, and manage all facility-related service providers — including premium cleaning companies, M&E contractors, AV specialists, landscaping, and pest control.
• Draft and administer service agreements; monitor KPIs and SLAs to ensure vendor performance meets luxury standards.
• Conduct regular vendor performance reviews and escalate non-compliance with appropriate documentation.
• Ensure all contractors working on-site hold valid licences, insurance, and safety certifications.
Security & Access Management
• Manage access control systems, CCTV, and security protocols to maintain the exclusivity and privacy required for an ultra-luxury sales environment.
• Supervise security personnel to ensure their conduct, appearance, and service manner are aligned with luxury hospitality standards.
• Develop and implement emergency response procedures for fire evacuation, medical incidents, and security breaches.
• Maintain a visitor access log and ensure client confidentiality is protected at all times.
Budget & Financial Control
• Prepare and manage the annual Operating & Maintenance Budget for the Sales Gallery.
• Monitor monthly expenditure, identify variances, and take corrective action to remain within approved budget.
• Review and approve supplier invoices; ensure cost efficiency without compromising quality standards.
• Provide quarterly budget utilisation reports to the Area Manager / Head of Luxury Projects.
Reporting & Documentation
• Prepare weekly Facility Status Reports covering building condition, maintenance activities, vendor performance, and upcoming works.
• Maintain comprehensive records including: Maintenance Schedules, Inspection Checklists, Incident Reports, and Training Records.
• Liaise with the Project team and construction contractor during the construction phase to ensure a smooth handover and gallery readiness.
Qualifications
- Education Bachelor's Degree or above in Facility Management, Engineering, Hospitality Management, or a related field
- Experience Minimum 3–5 years in Facility Management, or equivalent experience in Luxury Hospitality (5-star hotel), Luxury Retail Facility, or High-end Event Venue Management
- Language Thai (native) and English (professional working proficiency — written and spoken); essential for UHNWI client-facing environment
- Luxury Service Mindset — understands that 'good enough' is never sufficient in an ultra-luxury environment
