The Assistant CLO provides detail-oriented and proactive assistance to the Chief Legal Officer with experience in providing comprehensive administrative and legal support to senior counsel and regional teams. Proven track record of ensuring the smooth, efficient operation of legal departments while adhering strictly to company policies and regulations. Expert in managing complex executive calendars across international time zones, serving as a strategic liaison for senior stakeholders, and maintaining strict confidentiality of sensitive information. Possesses exceptional bilingual communication skills and high proficiency in Document Management Systems (DMS).
Key Responsibilities:
1. Executive Administration & Operations Management
- Strategic Calendar Management: Orchestrate the CLO’s complex calendar, scheduling high-priority meetings, teleconferences, and video conferences across multiple international time zones.
- Operational Gatekeeping: Act as the primary point of contact for the legal department, screening incoming communications and redirecting routine matters to optimize the CLO's focus.
- Stakeholder Liaison: Coordinate effectively with senior management, Finance, HR, and external parties (outside counsel, regulatory bodies) to facilitate departmental objectives.
- Deadline Management: Meticulously track and diarize critical dates, including court filings, statutory deadlines, and corporate reporting, ensuring no deadlines are missed.
- Meeting Facilitation: Organize internal and external meetings, prepare presentation materials, and capture accurate Minutes of Meeting (MoM) with strict follow-up on action items.
- Logistics & Finance: Manage all domestic and international travel arrangements and handle the timely preparation and submission of detailed expense reports.
2. Legal Support & Documentation
- Document Lifecycle Management: Prepare, format, edit, and proofread legal documents including contracts, agreements, memos, and regulatory filings. Assist in tracking the contract lifecycle from drafting to expiration.
- Confidential Information Management: Establish and maintain organized, secure filing systems (hard copy and digital/DMS) while strictly maintaining the confidentiality of all legal files.
- Process Coordination: Coordinate the submission of legal documents and applications to governmental agencies and courts as directed by counsel.
- Litigation & Research Support: Conduct preliminary legal research using online databases and assist in compiling case files and evidence binders for hearings.
