As our
Post-Sales Project Coordinator, you will be the key person
ensuring every custom gift project flows smoothly from deal confirmation to delivery. You will work closely with clients and internal teams to keep each project accurate, on-time, and well-managed.
Your responsibilities include:
👩🏻💼 Client Communication:
- Be the main point of contact for clients after the sales team closes the deal
- Provide clear updates on artwork, sample status, production timeline, and delivery
- Manage client expectations professionally and keep them informed at every stage
🎨 Artwork Coordination:
- Understand the artwork process:
- Sales may provide mockup before closing
- You manage the final artwork process after the deal is confirmed
- Coordinate with the Graphic Design Team to:
- Prepare final artwork
- Send artwork for client approval
- Manage revisions smoothly
- Ensure artwork approval stays within the timeline
✅ Sample Approval Management
- Coordinate the pre-production sample stage:
- Review key details (logo size, color accuracy, placement, dimensions)
- Request the Admin/QC Team to send sample photos or handle sample delivery
- Update the sample status in the work management board
- Follow up to obtain sample approval before mass production
⏳ Project Timeline & Internal Communication
- Track the full production journey: final artwork → sample → mass production → QC → delivery
- Work closely with Purchasing, Graphic Design, QC, and Delivery/Admin teams to align all information
- Identify potential issues early (delays, mismatches, defects) and coordinate solutions
- Maintain accurate records: artwork versions, approvals, sample notes, timeline updates
- Keep the work management board updated so every department stays aligned
