Job Summary
The Sales Admin is responsible for supporting daily sales and eCommerce operations, ensuring accurate inventory management, efficient order fulfillment, and smooth coordination between internal teams. This role plays a key part in maintaining operational accuracy, supporting online sales channels, and ensuring compliance with company SOPs.
Key Responsibilities
1. Inventory & Stock Management
- Monitor stock levels and update inventory records accurately
- Coordinate stock replenishment and stock transfers between warehouse, store, and eCommerce channels
- Conduct stock checks and support cycle counts to minimize discrepancies
- Prepare inventory reports as required
2. Pick & Pack – eCommerce Orders
- Process daily eCommerce orders accurately and on time
- Prepare picking lists and pack products according to company standards
- Ensure correct labeling, documentation, and order accuracy before dispatch
- Coordinate with logistics partners for timely delivery
3. eCommerce Operations Support
- Support online sales operations across multiple platforms (e.g. Website, Shopee, Lazada, LINE OA)
- Update order status, track shipments, and support returns or exchanges
- Handle basic customer inquiries related to orders and delivery
- Escalate issues to relevant teams when necessary
4. SOP & Process Compliance
- Follow company SOPs strictly for inventory movement, order processing, and documentation
- Maintain proper records for sales, returns, and stock adjustments
- Support continuous improvement of operational processes
5. Team Collaboration
- Work closely with Sales, Warehouse, eCommerce, and Finance teams
- Support daily sales activities and operational requirements
- Communicate effectively to resolve issues and improve workflow efficiency
Required Skills
- Inventory and stock management skills
- Knowledge of pick & pack and order fulfillment processes
- Strong attention to detail and data accuracy
- Ability to work with Excel / Google Sheets and basic inventory systems
- Understanding of SOP compliance and documentation
- Good communication and coordination skills
- Time management and ability to multitask in a fast-paced environment
- Team-oriented mindset with a proactive attitude
