Responsibilities

Job Purpose: To oversee daily building operations, engineering maintenance, and tenant relations to the highest standards. Additionally, this role is responsible for driving building occupancy by proactively acquiring new tenants, managing lease renewals, and maximizing commercial revenue.
Key Responsibilities
1. Tenant Acquisition & Leasing Management
            • Proactively source and acquire new commercial tenants to optimize building occupancy rates and achieve revenue targets.
        • Build and maintain strong relationships with property agents, brokers, and corporate clients to expand the prospective tenant pipeline.
        • Conduct building viewings, present leasing proposals, and negotiate lease terms, rental rates, and commercial conditions under the guidance of the Executive Committee.
        • Manage the lease renewal process for existing tenants to maximize retention and ensure seamless transitions.
2. Operations & Vendor Governance
        • Supervise and evaluate the performance of outsourced vendors (Security, Housekeeping, and Landscaping) ensuring strict adherence to KPIs and Service Level Agreements (SLAs).
        • Conduct daily inspections of common areas and building infrastructure to maintain a premium environment.
        • Oversee traffic management, parking systems, and access control for tenants and visitors.
3. Engineering & Fit-out Support
       • Coordinate closely with the Building Engineer to oversee Preventive Maintenance (PM) for critical systems (HVAC, elevators, electrical, and fire protection).
        • Supervise tenant fit-out projects, renovations, and move-in/move-out processes, ensuring full compliance with the building's technical and safety regulations.
4. Financial Control & Compliance
        • Assist in managing the annual operational budget (OPEX) and ensure cost-efficiency in procurement.
        • Ensure all building operations strictly comply with building control laws, fire safety regulations, and Occupational Health and Safety (OHS) standards.
        • Prepare monthly commercial and operational reports (Occupancy rates, utility consumption, and financial variances) directly to the Executive Committee.

Qualifications

Job Specifications (Qualifications)
    • Education: Bachelor’s degree or higher in Property Management, Business Administration, Real Estate, Engineering, or a related field.
    • Experience:
            o Minimum of 5–7 years of experience in Building Management or Property Management.
            o At least 3 years of proven experience in Commercial Leasing, Tenant Acquisition, or Real Estate Sales for Office                 Buildings (Grade A or B).
            o Experience working with property brokers/agencies and managing lease contracts is highly required.
    • Technical Skills (Hard Skills):
            o Strong understanding of commercial leasing contracts, rental structures, and market trends in office real estate.
            o Knowledge of building systems, fit-out regulations, and building control laws.
            o Proficiency in Microsoft Office (Excel & PowerPoint) for financial reporting and management presentations.
    • Behavioral Skills (Soft Skills - Crucial for this role):
            o High Emotional Intelligence (EQ) & Professionalism: Must possess exceptional emotional maturity, workplace etiquette, and diplomacy when dealing with difficult personalities, internal teams, or demanding tenants.
            o Strong Negotiation & Commercial Acumen: Highly skilled in closing deals, handling objections, and building executive-level relationships.
            o Accountability & Ownership Mindset: A self-driven professional who takes full responsibility for both occupancy rates and operational quality.
    • Language: Professional fluency in English (both spoken and written) for contract negotiations and professional emailing with multinational corporate tenants.
