Responsibilities

Financial Management & Accounting
• Prepare, maintain and monitor company cash flow forecasts, reporting variances and projections to the Managing Director on a regular basis.
• Prepare and issue client invoices in a timely and accurate manner, ensuring alignment with project schedules, contract milestones and agreed billing terms.
• Coordinate with the company’s external accountants and tax advisors to ensure all statutory obligations are met and financial records are maintained to the required standard.
• Prepare and compile all required tax documentation including VAT returns, withholding tax filings and any other applicable statutory submissions in accordance with Thai Revenue Department requirements.
• Administer the monthly payroll process, ensuring accurate and timely payment to all staff in compliance with Thai labour law and Social Security Fund obligations.
• Maintain accurate accounts receivable and accounts payable records, including tracking of outstanding invoices and follow-up on overdue payments.
• Reconcile bank statements and petty cash on a regular basis, maintaining supporting documentation for all financial transactions.
• Assist in the preparation of annual budgets and financial reports as required by management.
Personal Assistant to the Managing Director
• Provide comprehensive personal assistant support to the Managing Director, including diary and calendar management, scheduling of meetings and coordination of appointments.
• Prepare correspondence, reports, presentations and other documents on behalf of the Managing Director as required.
• Manage and screen communications directed to the Managing Director, ensuring timely responses and appropriate prioritisation of matters.
• Arrange business travel, accommodation and logistics for the Managing Director and other senior staff as required.
• Attend meetings, take minutes and follow up on action items as directed by the Managing Director.
Office Management & Administration
• Oversee and coordinate the daily operations of the office, ensuring a professional, well-functioning and organised working environment.
• Supervise and provide guidance to office support staff, coordinating workloads and ensuring tasks are completed effectively and on time.
• Manage the procurement and maintenance of office supplies, equipment and services, maintaining appropriate stock levels within approved expenditure limits.
• Liaise with building management, service providers and vendors on all matters relating to office facilities, maintenance and utilities.
• Maintain and manage company records, filing systems and document control procedures in both physical and digital formats.
• Support the onboarding of new staff, including coordination of workstation setup, equipment provisioning and initial administrative induction.
• Ensure compliance with office health, safety and wellbeing requirements and company policies and procedures.

Qualifications

Education
• Bachelor’s degree in Accounting, Finance, Business Administration or a related field is required.
• Professional accounting qualification (e.g. CPD, CPA Thailand or equivalent) is advantageous.
Experience
• Minimum of 8 years’ experience in an accounting, finance or office management role, with demonstrated progressive responsibility.
• Prior experience in a professional services environment such as consultancy, construction, engineering or project management is highly regarded.
• Proven experience managing payroll, tax filings and liaising with external accountants and government authorities in Thailand.
• Experience providing personal assistant or executive support functions at a senior management level.
SKILLS & PERSONAL ATTRIBUTES
• Fluent in English (written and spoken) — essential for communicating with international clients and partners.
• Strong proficiency in accounting software (e.g. QuickBooks, MYOB, Xero or equivalent) and Microsoft Office Suite (Excel, Word, Outlook).
• Sound knowledge of Thai accounting standards, Revenue Department requirements and labour law obligations.
• High level of personal integrity, discretion and professionalism, particularly in handling confidential financial and management information.
• Excellent organisational and time management skills with the ability to manage multiple priorities and deadlines concurrently.
• Strong interpersonal and communication skills, capable of working effectively with colleagues, clients and external parties at all levels.
• Proactive, self-motivated and able to work independently with minimal supervision.
