Responsibilities

1. Oversee the immigration and visa function in the school whilst ensuring legal compliance in all related areas
2. Manage the end-to-end NON-ED visa process for Boarding students . Including creation & tracking status, document preparation, application submission and accompanying students to the immigration office
3. Liaise effectively with the Boarding staff to ensure a good flow of communication and support in dealing with any visa or immigration related issues for boarder students
4. Monitor Boarding student passports, TM.30, 90 days report, and any related student visa matters
5. Support the Admissions team for NON-ED & Guardian visa inquiry for the initial visa, and extension process related to immigration requirements as needed
6. Provide a NON-ED and guardian visa letter to the Thai Embassy Aboard and letter of extension when requested
7. Respond promptly and professionally to parent queries via email, phone, and in person to support with all student and guardian visa inquiries; offer advice to parents and students regarding visa supporting documents and regulations
8. Manage the end-to-end work permit process for existing Non-Thai staff. Including tracking status and document preparation, application submission and work permit cancellation process, liaising with staff and the Ministry of labour
9. Liaise and coordinate with the line manager for work permit renewal process timelines
10. Ensure compliance with all immigration, labour regulations, conducting regular reviews of related processes and documentation 
11. Deal with a range of staff, parents and students confidently and supportively regarding visa and immigration related issues 
12. Ensure that all of the information provided by individual staff and from the Immigration Officers is accurate and correct, efficient and transparent approach in all transactions 
13. Create and maintain an efficient and smooth system for appointment setting and delivery of staff and students to immigration and other government offices as required
14. Work within strict timelines and communicate with authorities, Line manage team, and individuals consistently and effectively to keep all parties fully informed at all times 
15. Assist and support team in any other related visa, teacher permit license, work permit process as assigned

Administration
1. Create and maintain comprehensive records of Non-Thai Boarding students and staff data, ensuring accuracy and regular updates
2. Update and maintain the accurate data for monitoring visa and passport status and tracking for boarding student visas, staff visas, and work permit status   
3. Keep records for student and guardian visas and all work permit related documentation as requested. 
4. Create and process purchase order cash advances for boarding student visa, work permit extension and reimbursement process
5. Assist HR department with other administrative tasks as assigned 

Other Responsibilities
1. Ensure that all enquiries are handled in a polite and efficient manner, using the English Language as the main initial medium. Ensure that telephones are answered using appropriate greeting
2. Use office tools available to manage information and store materials in a tidy and systematic manner
3. Participate in the Performance Development Review process as required
4. Keep up to date with new initiatives in the school, by attending meetings and training
5. Show commitment to the protection and safeguarding of students
6. Comply with all School policies, staff handbook and the rules and regulations as stipulated by the school and set a good example for students and colleagues

Qualifications

  • Degree level education and any other qualifications relevant to Visa, Immigration, Work permit Consultancy
  • Must have experience and knowledge related the school visas, work permit regulations and liaise with government bodies
  • Must have strong communication and negotiation skills as the job is centred on communication with wide range of individuals, colleagues, prospect parent and authorities
  • Highly developed oral and written English communication skills, with a sound ability to prepare complex correspondence and reports
  • Strong organisational skills in managing a large and complex caseload within a busy team environment
  • Must be able to work to tight deadlines even when under pressure, whilst still being able to provide a high level of customer service
  • Ability to interpret and apply Thai immigration legislation and policy guidelines; and exercise sound judgement and decision-making skills in assessing and processing visa applications
  • Proficiency in clerical and administrative work using computer systems, and an ability to work with other software related to Visa, Immigration, and Work permit data


Mandatory Criteria:

  • Ability to communicate fluently in oral and written Thai and English
  • Good command in Chinese is an advantage
  • Demonstrate a high level of integrity, confidentiality and care in all transactions
  • Ensure professional management of information in a well organised, tidy and systematic manner
  • Provide acceptable and up to date police checks (or equivalent) from the country of origin and from all other countries in which the applicant has worked
  • Appropriate references from current and previous employer, corroborated by personal phone calls made to each referee
