Responsibilities

Responsible for coordinating the procurement of goods, supplies, equipment and materials to ensure quality, cost-effectiveness and timely delivery. Manage the receipt, storage, issuing and inventory control of goods, maintaining accurate records and appropriate stock levels. Liaise with departments and suppliers to support efficient procurement and effective resource management.

Procurement Responsibilities

  • Arrange for the supply and allocation of equipment and supplies, materials, and other resources as required by the school. This will include the following functions: preparation of specifications, tenders and schedules; obtaining and negotiating prices; obtaining quotations and placing orders and processing invoices

  • Ensure that goods purchased are to specification in terms of quality, quantity and delivery and to advise 

         about suppliers who fail to meet specifications

  • Liaise with other departments across the school in order to maximise the benefits of bulk purchase

  • Ensure that price variations are communicated to the relevant parties as quickly as possible

  • Adhere to existing working practices, methods, procedures, undertake relevant training and development activities and to respond positively to new and alternative systems   

  • Support the School Shop as required 


Store and Inventory Management

  • Receive, inspect and organise incoming goods against purchase orders and delivery documents

  • Conduct regular stock counts, investigate discrepancies and maintain accurate inventory records

  • Maintain an organised, labelled and accessible storage system

  • Monitor stock movement, usage and levels, including slow-moving, obsolete and damaged stock

  • Manage the issuing and distribution of stock to authorised departments and staff

  • Provide inventory information to support procurement planning, budgeting and stock replenishment

  • Ensure store and inventory areas are safe, clean and orderly


Other Responsibilities

  • Follow all agreed school policy and procedures as shared and in the staff handbooks

  • Undertake other reasonable duties as requested by the Head of Department, Head of Faculty or members of the Senior Leadership Team and any duties that the Head Master deems necessary for the effective operation of the School

Qualifications

  • Bachelor’s degree in business or related field (supply chain management/procurement background)

  • Knowledge of procurement processes, stock keeping, inventory storage policies and procedures

  • Strong emphasis on accuracy and detail

  • Able to handle multiple projects simultaneously to meet goals and deadlines

  • Proficient in Microsoft Office programs, such as Excel 

  • Basic understanding of ERP and MRP systems, such as SAP, AX, D365, Oracle

  • Good time management and organizational skills

  • A good level of physical health to cope with the physical aspects of the role

  • Acceptable police checks (or equivalent) from the country of origin and all other countries of residence
