Responsibilities

As our Post-Sales Project Coordinator, you will be the key person ensuring every custom gift project flows smoothly from deal confirmation to delivery. You will work closely with clients and internal teams to keep each project accurate, on-time, and well-managed.

Your responsibilities include:

👩🏻‍💼 Client Communication:
  • Be the main point of contact for clients after the sales team closes the deal
  • Provide clear updates on artwork, sample status, production timeline, and delivery
  • Manage client expectations professionally and keep them informed at every stage

🎨 Artwork Coordination:
  • Understand the artwork process:
    • Sales may provide mockup before closing
    • You manage the final artwork process after the deal is confirmed
  • Coordinate with the Graphic Design Team to:
    • Prepare final artwork
    • Send artwork for client approval
    • Manage revisions smoothly
    • Ensure artwork approval stays within the timeline

✅  Sample Approval Management
  • Coordinate the pre-production sample stage:
    • Review key details (logo size, color accuracy, placement, dimensions)
    • Request the Admin/QC Team to send sample photos or handle sample delivery
    • Update the sample status in the work management board
    • Follow up to obtain sample approval before mass production

⏳ Project Timeline & Internal Communication
  • Track the full production journey: final artwork → sample → mass production → QC → delivery
  • Work closely with Purchasing, Graphic Design, QC, and Delivery/Admin teams to align all information
  • Identify potential issues early (delays, mismatches, defects) and coordinate solutions
  • Maintain accurate records: artwork versions, approvals, sample notes, timeline updates
  • Keep the work management board updated so every department stays aligned

Qualifications

⚙ Core Qualifications
  • Age 27–32 years, mature and confident in client communication
  • Bachelor’s degree in any field or equivalent work experience.
  • 3–5 years experience in project coordination, client service, account handling, or operations
  • Strong interpersonal and communication skills — able to work professionally with both clients and internal teams
  • Excellent organizational skills; able to manage multiple active projects while keeping track of details
  • Able to identify missing information, inconsistencies, or potential issues before they become problems
  • Experience coordinating with cross-functional teams such as purchasing, design, QC, operations, or logistics
  • Experience working with multi-stage project workflows (e.g., approvals, revisions, internal checks, production steps)
  • Skilled in managing client feedback and revision cycles while maintaining a positive relationship
  • Strong timeline management — able to protect deadlines and gently guide clients to stay on schedule
  • Comfortable working in a fast-paced, detail-oriented, deadline-driven environment
  • Proficient in Google Workspace (Sheets, Docs, Drive), Excel, and daily communication via LINE OA
  • Able to quickly learn and use project platforms such as Monday.com, Asana, Trello, or Notion
  • Basic English (reading/writing) for communication and documentation
  • Positive, solution-focused attitude; able to stay calm and professional under pressure

  • Experience coordinating with external suppliers, partners, or service providers
  • Familiarity with managing made-to-order or customized products (from any industry)
  • Strong documentation skills — able to keep clean, consistent project records
