Responsibilities

1. Sales Operations & Performance Management

  • Manage and maintain sales tracking systems, CRM tools, and reporting dashboards.
  • Compile, analyze, and distribute sales performance reports, forecasts, and insights.
  • Monitor KPIs and support the sales team in achieving targets through data-driven analysis.
  • Identify sales trends and provide actionable recommendations to improve performance.
  • Ensure accuracy and consistency of sales data across all systems.
2. Executive Support to Sales VP
  • Act as a right-hand support to the Sales VP on daily operations, priorities, and follow-ups.
  • Prepare reports, presentations, and business summaries for internal and external meetings.
  • Track key projects, deadlines, and action items to ensure timely execution.
  • Handle confidential information with professionalism and discretion.
  • Support strategic initiatives and assist in decision-making processes.
3. Sales Process & System Management
  • Work closely with HQ IT and internal teams to manage and improve sales systems and tools.
  • Act as the main coordinator for system issues, upgrades, and new feature rollouts.
  • Ensure sales team adoption and proper usage of systems and processes.
  • Suggest and implement process improvements to enhance efficiency and productivity.
4. Order & Account Management
  • Oversee order processing, ensuring accuracy and timely execution.
  • Coordinate with internal teams to handle rush orders, changes, and issue resolution.
  • Monitor account status and support the sales team in maintaining client satisfaction.
  • Troubleshoot issues related to orders, accounts, and system discrepancies.
5. Cross-functional & HQ Coordination
  • Serve as a key liaison between Thailand team and HQ (China) for business operations.
  • Communicate effectively in Chinese for reporting, alignment, and project coordination.
  • Support cross-border initiatives, ensuring smooth collaboration and execution.
  • Translate business requirements and ensure alignment between local and HQ teams.
6. Administrative & Operational Support
  • Maintain organized documentation and ensure compliance with internal policies.
  • Support administrative tasks for the sales team and management when required.
  • Assist in preparing contracts, proposals, and supporting documents.
  • Ensure all processes meet internal and external compliance requirements.
7. Continuous Improvement & Team Support
  • Proactively identify gaps and recommend improvements in sales processes and workflows.
  • Provide guidance, tools, and support to enhance sales team efficiency.
  • Stay updated on new products, features, and company initiatives.
  • Take on ad-hoc tasks and special projects assigned by the Sales VP.

Qualifications

  • Fluency in Thai, English, and Chinese (HSK 5 or above required).
  • 3–5 years of experience in sales operations, sales support, or executive assistant roles.
  • Strong understanding of sales processes, CRM systems, and data analysis.
  • Excellent organizational skills with high attention to detail.
  • Strong analytical thinking and problem-solving ability.
  • Ability to handle multiple priorities in a fast-paced environment.
  • Strong communication and stakeholder management skills.
  • High level of responsibility, discretion, and professionalism.
  • Proactive, flexible, and able to adapt to changing priorities.
  • Proficiency in Microsoft Office (Excel, PowerPoint) and CRM tools.

Preferred Qualities (Nice to Have)

  • Experience working with regional or global teams (especially China HQ).
  • Familiarity with media, advertising, or OOH industry.
  • Experience supporting senior executives or leadership roles.
  • Strong mindset in process improvement and operational excellence.
