Responsibilities

Job Purpose:

The Service Operations Administrator is responsible for supporting service operations by managing system updates, processing work orders, coordinating documentation, and providing administrative and analytical support to the field and supervisor teams to ensure smooth and efficient operations.

Key Responsibilities:

• Update job status and process documentation from contract sales to support field technicians’ operations in OTIS/Sigma systems
• Maintain and update backlog for T-orders in OTIS/Sigma
• Close T-orders and record working hours based on vendor documentation
• Calculate monthly incentive compensation (IC) for technicians and supervisors
• Extract and analyze working hours categorized by contract type and submit data to Finance for system upload
• Prepare and submit reports to the Accounting team
• Perform tasks in SMS system
• Maintain and update service contracts, print documents, and prepare materials for field execution
• Coordinate handover checks and documentation to the field team
• Create Purchase Requisitions (PR) in OTIS/Sigma
• Manage ordering and control of OTIS/Sigma forms
• Provide administrative support to the Field Team
• Generate spare parts requisitions
• Prepare and track overtime (OT) reports
• Support customer complaint handling process and coordinate with relevant teams
• Prepare reports for Supervisor to support operations and decision-making
• Manage Otis line team

Qualifications

Qualifications & Skills:

• Strong proficiency in Microsoft Excel
• Good command of English communication (both written and spoken)
• Strong analytical skills with ability to interpret and connect system data
• Fast learner with ability to adapt to new systems and processes
• Good coordination and communication skills across functions
• Basic understanding of data analysis (Data Analyst mindset)
• Proficient in computer usage and systems
• Ability to work under pressure and manage multiple tasks simultaneously
• Service-minded with strong attention to detail
• Able to work independently and as part of a team
