understanding of technical and business vocabulary, and a detailed knowledge of the organization's operations, procedures, and people. Coordinate and support employees and visitors on traveling, administrative paperwork, and work on some day-to-day operations of HR and Safety concern concerns.
Primary Duties and Responsibilities:
1. HUMAN RESOURCE
• Work on the day-to-day operation of HR and Safety concerned such as canteen, maid, driver, and others.
• Check time attendance, overtime, diligent allowance, food allowance, leave record, etc. to support payroll preparation.
• Submit claim document insurance to the broker and coordinate with the broker insurance if there are any issues.
• Submit canteen expenses to finance.
• Prepare employee cards for newcomers or requests from staff.
• Support HR department including HR and plant activity.
• Coordinate with the government, social security fund, the revenue department
• Manage and track all cash expenses and reimbursement for HR concern items.
• Other HR assignment
2. SECRETARY AND ADMINISTRATION
• Manage the executive’s and visitor’s schedules.
• Manage appointment, call, meeting room, hotel booking, transportation, air ticket, food / restaurant, Invitation letter, Passport, VISA, Work permit for company ‘s guest.
• Make travel arrangements for employees to make best use of their time and company costs.
• Gather, compile, verify, and analyze information for the executive's use in documents such as memos, letters, reports, speeches, presentations, and news releases.
• Facilitate smooth communications between the executive and coworkers and between the executive and external parties such as media, customers, and the public.
• Handle confidential information.
• Maintain the security of the executive’s records and files.
• Monitor, review, and approve standard expenditures to ensure the activities of the office are conducted within established budgets.
• Perform tasks using independent judgment and discretion, e.g.,
• Preparing documents and presentation materials.
• Screening and responding to incoming correspondence, inquiries, and phone calls.
• Drafting letters and official information releases.
• Arranging and attending meetings; taking and distributing minutes.
3. GENERAL MANAGEMENT
• General office management such as purchasing stationery/chemicals for the canteen, occasional cards, sending posts, etc.
• Inventory check for PR/PO/Invoices of things used in the plant (Stationary, PPE, Beverage, Drinking Water, Tissue, etc.
• Support the Expat Senior Management regarding work permit/visa application/Tax and others as needed.
• Support some government paperwork submissions as needed.
• Others as assigned by the Human Resources Manager or other executive.
Education and/or Experience:
• Bachelor’s degree in business administration or related
• Minimum 3 years experience in Administration, HR, Secretary, or any related position.
• Proficient in Excel Advance (V-Look up, Pivot table, Sum, Sum if or any Formula)
• Good command of English.
• Proficient in MS Office and MS Outlook.
