Responsibilities

SUMMARY:

Import Staff is one of the essential functions within the organization, responsible for supporting the company’s import operations and ensuring the smooth flow of goods from overseas suppliers. This role coordinates with overseas suppliers, freight forwarders, shipping agents, customs brokers, related government offices, and internal departments to facilitate timely importation, accurate documentation, law and regulatory compliance, and cost-effective logistics management. The key success factors for this position include attention to detail, strong coordination skills, and knowledge of import procedures. Essential duties and responsibilities are described below.

ESSENTIAL DUTIES & RESPONSIBILITIES:

·         Coordinate import operations in compliance with company policies, customs regulations, Thai FDA requirements, and applicable laws to ensure timely and compliant importation.

·         Obtain and process import permits, licenses, certifications, registrations, approvals, and other regulatory requirements with relevant authorities and government agencies.

·         Review and verify import documentation, including invoices, packing lists, bills of lading, air waybills, customs declarations, duty and tax assessments, and other related shipping and customs clearance documents against Purchase Orders (PO) and regulatory requirements.

·         Coordinate with overseas suppliers, freight forwarders, customs brokers, shipping agents, government authorities, and internal departments to ensure smooth shipment arrangements, customs clearance, and regulatory compliance.

·         Resolve discrepancies in shipment documentation, customs clearance, and logistics activities, including claims for goods damaged during transportation, to minimize delays and ensure operational continuity.

·         Maintain accurate import records, monitor shipment status, and provide timely updates to relevant departments while ensuring compliance with internal controls, customs requirements, and audit standards.

·         Prepare import shipment reports, freight and duty cost reports, expense claims for import duties, permit fees, Thai FDA fees, and other import-related expenses, and submit related billing documents to the Accounting Section.

·         Evaluation of customs brokers and freight forwarders by monitoring service performance, preparing operational data, and providing feedback for service improvement.

·         Analyze import costs, freight expenses, clearance lead times, and shipment performance, and provide recommendations for cost reduction, process improvement, and operational efficiency.

·         Analytical & Problem Solving – Analyzes import, customs, and logistics issues, identifies root causes, and implements effective solutions to support business operations.

·         Stakeholder Communication & Coordination – Effectively coordinates with suppliers, freight forwarders, customs brokers, government authorities, and internal departments to ensure smooth import operations.

·         Cost Optimization & Continuous Improvement – Identifies cost-saving opportunities and recommends process improvements while maintaining compliance, service quality, and on-time delivery.

Computer Application, Data Management & Knowledge Sharing – Proficient in Microsoft Office and relevant systems for documentation, reporting, and data analysis, while actively sharing knowledge and supporting the development of team members.

Qualifications

EDUCATION AND QUALIFICATIONS 

·         Education:

•                     Bachelor’s degree in International Business, Business Administration, Economics, Logistics & Supply Chain

·         Experience:

•                     At least 3-5 years’ experience in Import, Shipping, Custom Clearance especially for Medical Device would be advantage.

•                     Experience in a manufacturing company and multi-site responsibility are preferred.

·         Essential Skills Required:  

•                     Able to use Microsoft office especially Excel, Word and PowerPoint program

•                     Able to communicate by e-mail in English language

•                     Good communication in English language (written, spoken, and listening)

·         PHYSICAL DEMANDS OF WORKING ENVIRONMENT:

•                     Able to work under pressure and working rotation

•                     Able to work overtime

•                     Willing to travel domestically as required.

•                     Flexible to support job rotation and cross-functional assignments.
